When you visit our website, information about you is collected and used to customise and improve our content and to enhance the value of your experience. If you do not wish for information to be collected, you should delete your cookies (see guidance below) and refrain from further use of the website. Below, we explain in detail what information is collected, the purpose of the collection, and which third parties have access to the data.
Cookies
This website uses “cookies”, which are text files stored on your computer, mobile device, or similar unit for the purpose of recognising it, remembering settings, performing statistical analysis, and delivering targeted information to you. Cookies cannot contain harmful code such as viruses.
The first time you visit our website, you will be presented with our cookie pop-up, where you actively choose your cookie consent. You can delete or block cookies at any time — for example, if you wish to change your consent. The data is stored locally on your device, meaning that you must clear the browser cache yourself. Once cleared, you will again be asked to provide consent for the cookies used. It will clearly be stated which cookies we use, and you will have the option to deselect them.
If you delete or block cookies, the information presented to you may become less relevant and appear more frequently. In addition, you may experience that the website does not function optimally, and certain content may become inaccessible. The website also uses third-party cookies, which may vary in scope and typically include the most common ones.
General
Personal data includes any information that can in some way be attributed to you. When you use our website, we collect and process various types of such information. This happens, for example, through general site access, newsletter sign-ups, participation in competitions or surveys, use of our online booking platform, or use of our personalised booking service.
We typically collect and process the following data: a unique ID, technical information about your computer, tablet, or mobile phone, your IP address, geographic location, and the pages you click on (interests). To the extent that you explicitly consent and enter the information yourself, we also process your name, phone number, email address, and company — typically when you use our inquiry form.
Security
We have implemented technical and organisational measures to ensure that your information is not accidentally or illegally deleted, published, lost, impaired, accessed by unauthorised persons, misused, or otherwise processed in violation of legislation.
Purpose
The collected information is used to identify you as a user and display advertisements most likely to be relevant to you, to register your data, and to deliver the services you request — such as sending newsletters. Additionally, the information is used to optimise our content and services.
Retention Period
Information is kept for the period allowed under applicable law, and we delete it when it is no longer necessary. The period depends on the nature of the information and the reason for storage.
Disclosure of Information
Data about your use of the website, the ads you receive and possibly click on, your geographic location, gender, and age segment may be passed on to third parties, to the extent such information is known. You can see which third parties this involves in the section on “Cookies” above. The information is used for targeted advertising.
We also use several third parties for storage and data processing. These processors act solely on our behalf and may not use the data for their own purposes.
Disclosure of personal data such as your name or email will only occur if you provide consent.
Access and Complaints
You have the right to know which personal data we process about you. You may at any time object to the use of your data. You can also withdraw your consent for us to process your data. You have the right to have your personal data corrected or deleted. Requests can be made by contacting: dkbs@dkbs.dk.
If you wish to lodge a complaint about our processing of your personal data, you may contact the Danish Data Protection Agency (Datatilsynet).
This policy applies to all services, websites, and newsletters provided by Danske Konferencecentre, unless otherwise stated. References to “data” refer to any type of data, such as survey responses, data collected when preparing offers, or data inserted into websites hosted by us. References to “personal data” refer to information that identifies you personally.
Rights of the Data Subject
A data subject has the right to access the personal data processed about them at any time.
A data subject has the right to have their personal data corrected or updated.
A data subject has the right to request deletion of their personal data.
If deletion is requested, all information not required by law to be stored will be deleted. In some cases, deletion may mean that DKBS cannot fulfil agreements or deliver certain services.
If personal data has been provided based on consent, the data subject may withdraw consent at any time, after which the information will be deleted or no longer used — except for data that must legally be retained.
Requests must be submitted in writing and include name, address, phone number, and email.
Requests should be sent to dkbs@dkbs.dk.
DKBS will respond within one month whenever possible.
If correction or deletion is requested, DKBS will assess whether conditions are met and act as quickly as possible.
Requests may be refused if they are repetitive, require disproportionate technical changes, affect the protection of others’ personal data, or are excessively resource-intensive.
Security and Sharing of Personal Data
DKBS protects personal data and has established procedures to prevent unauthorised disclosure or access.
Only employees who need the data for their job functions have access.
